Recruiting streamlined by automated emails

The Department of Communities, Housing and Digital Economy is to unveil a new automated email system to assist for recruitment this week (17 February).

In a statement, Queensland Shared Services (QSS) said the system should result in a more streamlined and enhanced recruitment experience.

“We’ve automated seven existing recruitment emails, ensuring communications are delivered more quickly and efficiently during the recruitment process,” QSS said.

“We’ve also reviewed the language and content of the recruitment emails and simplified them to make it easier to complete recruitment activities.”

It said that as a result, the Springboard system had the ability to send automated emails at different stages of the recruitment process, rather than having the QSS Recruitment team manually sending them.

In an example, it said recruitment officers would now be able to email non-shortlisted candidates direct from Springboard folders.

Under the system, all candidates moved to the ‘Not shortlist’ folder would receive an automated email informing them that they had not been selected for an interview.

Officers would also see a warning reminding them that the email was about to be sent in order to eliminate any mistakes.

“This keeps candidates informed and allows recruitment officers to shortlist them later if circumstances change,” QSS said.

“Candidates will receive another notification to tell them they’ve been unsuccessful once the recruitment process is complete and their details have been moved to the ‘Unsuccessful’ folder.”

To ensure recruitment officers can plan their activities, the emails will outline why they have been sent, what action was needed, what would happen next, and what would happen later.
