PS gets to say on future recordkeeping

Victorian Public Servants are being called on to help shape the future of Government record keeping.

Opening consultation, the Public Record Office Victoria (PROV) said its Appraisal and Documentation Team was inviting submissions on a new draft Retention and Disposal Authority (RDA) for Records of the Office of the Governor (OOG).

The Office said a new RDA was required as there was no existing coverage for the unique records created and functions performed by the OOG.

“As there are no other Victorian Public Offices that perform similar roles, a new Agency-specific RDA is required to fill the gaps in coverage,” PROV said.

It said the aim of the RDA, once issued as a Standard, was to specify records required as State Archives and to provide for the lawful disposal of records that were not required permanently after specified periods.

“This RDA has been developed in consultation with the OOG,” PROV said.

“It includes their unique functions including the constitutional and ceremonial responsibilities of the Governor and the custodianship of Government House.”

The Public Record Office said its Appraisal and Documentation Team was seeking feedback until 7 October on whether the draft RDA’s retention periods were reasonable, if the language used was clear enough, and if there were any gaps in the RDA coverage.

It said the new RDA would apply to records created by the OOG, including records of the management of Government House.

However, PROV said the new RDA would not apply to records of the Department of Premier and Cabinet that involved the Governor, which are covered in other RDAs.
