PROV issues advice for at-home workers

The Public Record Office Victoria (PROV) has launched information and resources dealing with the record-keeping responsibilities of PS staff working from home.

“Whether working remotely occasionally or for a prolonged period, your recordkeeping obligations remain the same,” PROV said.

“You must continue to create and manage records appropriately, so that information about decisions and actions is kept and can be accessed and understood,” it said.

“This is critical for the continued functioning of government and will ensure you, your managers and the public have the information they need now and into the future.”

PROV said employees and their Departments must consider the most effective ways to meet recordkeeping obligations while managing the challenges of working remotely.

It said record keeping could prove challenging, particularly if people were not able to access their work systems or communication channels.

The new resource sets out tips and guidance covering the records that needed to be created and kept; document naming and version control; how to create good quality records; how to capture and store records; Office 365 Services; scanned records; how to keep records secure; and when a record could be disposed of.
