Queensland Shared Services (QSS) has announced that the range of PDFs used to do business with it are to be transformed into paperless online forms.
The Agency said forms so far converted included the general purpose expenditure voucher (GPEV); vendor master data; overtime; work hours and work pattern; temporary or casual extension, separation, and payslip request.
QSS said it was also splitting the corporate purchasing card application and training into two forms.
The corporate card training application was available now as an online form, while corporate card application would continue as a PDF (without the training component) until an online form would be available by March 2021.
It said other forms to be converted in the future included domestic travel expense; overseas travel expense; purchase order amendment; goods and services requisition; non-payroll employment details; higher duties/relieving at level authority, and leave application.
“We’ll also introduce a new online form for goods receipting and purchase order invoice payments,” the Agency said.
“This will replace the current method of emailing information to QSS,” it said.
“We want to make it easier for you to complete transactions with us. Online forms save you time — no downloading, printing, signing and scanning; they give you peace of mind — as soon as it’s approved, it’s with the correct QSS team for processing.”
It said online forms were also easier than PDF as they asked only for the information QSS needed to complete the request.
In addition they could be accessed consistently — not restricted by mobile device and web browser compatibility, and they were future proof — not replying on third-party software for creating and editing.
Finally, they helped the environment by saving paper and ink.
“Once a new form is released, we schedule the removal of the old PDF,” The QSS said.
“We’re staggering this process and working with our customer working groups to get the links on your intranets updated. Please remove any PDFs that you’ve saved to your network or personal drives.”
QSS is to be closed from Friday 25 December 2020 to Friday 1 January 2021 inclusive, resuming services as normal from Monday 4 January 2021.
